Greenhouse Sourcing Templates: The Key Takeaway

The biggest advantage of using Greenhouse to send sourcing emails is that you can personalize them to your candidates using information that Greenhouse already has. Even just using a candidate's name can increase your response rate.

Another reason why Greenhouse is helpful as a sourcing tool is that it integrates into your applicant tracking. This means that when prospects or leads become candidates, they are already in your system, and you can track which sourcing messages and situations are most effective over time.

Targeting

Two questions to consider before you set up your campaigns in Greenhouse are:

  1. What are your goals?
  2. Who is the right profile for your role?

Before you pick a sourcing template for a tough-to-hire role, consider who you want to target with your outreach message.

Greenhouse can be a valuable tool for targeting since it stores data on your previous candidates and gives you insight into why they didn't move forward. Often, there are specific reasons why a candidate didn't accept a role, such as bad timing or a better offer from another company.

Candidates who have previously been to the final rounds of your interview process are much more knowledgeable about your company than those who haven't. A great place to start when targeting candidates is identifying those who previously made it to the final round. You can use this information to create a high-level rule of thumb for who to reach out to again.

Cadence

You need to decide on a cadence for your outreach. We highly recommend sending 2-4 emails to each candidate. Even if you're reaching out to old candidates, it's helpful to give them multiple chances in case the email arrives during a vacation, illness, or other time when they're likely to miss it.

A good rule of thumb is to have a 2-step cadence for candidates who have interviewed before and a 3-4 step for candidates who are in your database as prospects, but likely need a bit more selling on the value of taking the time to engage in conversation.
